PRIVACY POLICY

At TooLate, we value your privacy. We understand how important it is to be transparent about how we collect, use, and protect your information. This Privacy Policy explains:

  • What personal data we collect and process

  • Why and how we use your data

  • What rights you have over your data

By using the Service, you agree to this Privacy Policy, which is an essential part of the Terms of Use. If you do not agree with any part of this policy, please stop using the Service.

WHAT IS TOOLATE?

TooLate allows Users to access relevant information, primarily for students, in one central application. The Application includes but is not limited to:

  • Personal timetables

  • Timetables of Friends (if enabled)

  • Library occupancy

This Service is provided by TooLate App Team FV (“we”, “us”, “our”) through both a web Application and a mobile application.

DATA PROCESSING AND APPLICABLE LAW

The processing of your personal data is subject to Belgian law, including the Act of July 30, 2018, on the protection of natural persons regarding the processing of personal data and the free movement of such data (GDPR). Additionally, the European Regulation 2016/679 of the European Parliament and the Council of April 27, 2016, applies (GDPR).

TooLate Organization is the Data Controller and is therefore responsible for processing your personal data in accordance with the GDPR. As the Data Controller, TooLate Organization is committed to complying with applicable laws and processing your personal data in a lawful, fair, and transparent manner. We assure you that this processing is carried out in line with the specific and reasonable purposes outlined in this Privacy Policy. The duration of the processing is limited to the time necessary to achieve the purposes for which your personal data is collected and processed.

PERSONAL DATA COLLECTION AND STORAGE

Organization TooLate collects two different types of data:

Data provided by the User to Organization TooLate: This includes profile data. It refers to the information you must provide when registering, such as first name, last name, email, profile picture, password, educational institution, student city, education level, year, study program, and interests. We record the information you choose to share with us or that we need to respond to your request when you report a problem with the App (inappropriate actions, bugs, errors), participate in a survey about the quality of our Services, request assistance, or exercise your rights.

Data that Organization TooLate may collect when you use our Service: This includes connection data, such as IP address, registration date, and last connection date to the Services; data on how you interact with other Users; data on how you use our Services; and data from devices and equipment.

YOUR RIGHTS AS USER

You have the right to receive information from us about:

  • Whether or not personal data about you is being processed.

  • The purposes of this processing.

  • The recipients or categories of recipients to whom the personal data has been or will be disclosed.

  • If possible, the intended retention period for the personal data, or if not possible, the criteria used to determine that period.

  • The source of the personal data, especially when it was not obtained directly from you.

  • The right to request correction or deletion of personal data, or restriction of processing concerning you, as well as the right to object to such processing.

  • The right to lodge a complaint with the data protection authority.

Additionally, you can request us to:

  • Correct any inaccurate personal data related to you as a User.

  • Delete personal data related to you as a User.

  • Restrict processing in the following cases:

    • You have contested the accuracy of your personal data.

    • The processing of your data is unlawful.

    • If we no longer need your data for processing, but you need it for the establishment, exercise, or defense of legal claims.

Furthermore, you have the right to receive your personal data, which you have provided to us, in a structured, commonly used format.

ADDITIONAL INFORMATION ABOUT THE CONNECTION TO THE PERSONAL SCHEDULE

The user has the option to link their personal schedule by connecting their iCal link, either manually or by using the iCal detector tool. To enhance the user experience, we provide an automated process, known as the ‘iCal detector’, to retrieve iCal links that contain personal schedule information.

In case the User used the iCal detector, the user will receive a notification asking them to accept the retrieved iCal links for further processing and storage on the TooLate server. Limited usage information (such as page data) will be stored for a maximum period of 48 hours. If errors occur in the output, such as an empty or missing iCal link, the information may be stored for a maximum period of 7 days. This information is solely used to improve the app and prevent misuse of the app and the detector tool.

Regardless of whether the iCal detector is used or not, the data is only stored after explicit consent from the user. By accepting this privacy policy, the user also gives consent for the storage of the iCal link and the processing of data obtained through this link. This processing is strictly limited to ensuring the proper functioning of the application, including but not limited to making the personal schedule available offline.

Other data, such as cookies or settings data, is not stored by TooLate.

SHARING DATA

We do not share your non-anonymized Personal Data with third parties unless:

  • You explicitly give consent (e.g., when adding Friends in the App)

  • We are required by law to disclose data

  • It is necessary to protect the rights, property, or safety of TooLate, our Users, or the public

Some data may be anonymized and categorized for business purposes, always with strict privacy measures.

Each User has a profile that is visible to other users within our Service. This includes details such as the first name, last name, profile picture, and educational institution.

Establishing a friendship on our Services entails the following: Sharing of the personal profile and sharing of the personal schedule, with the exception of private activities.

EXTERNAL SERVICES

TooLate uses Google API Services, Firebase, Cloudflare, Algolia and Postmark to enhance the User experience. The processing and storage of data comply with:
